Partnerships for Integrity (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal data. This policy explains what personal data we collect, why we use it, how we protect it, and how you can exercise your rights. It applies to information we collect when you use our website, contact us, sign up for newsletters, apply for jobs, or otherwise interact with us.

This Privacy Policy applies to personal data we collect from:
Visitors to our website and people who contact us;
Newsletter subscribers;
Job applicants;
Partners, suppliers and other business contacts.

We collect only the personal data necessary for the relevant purpose. Examples include:

Contract / pre-contractual steps (Art. 6(1)(b) EU GDPR): to provide services, fulfil donations/contracts, and manage applications.
Consent (Art. 6(1)(a) EU GDPR): for newsletters, cookies or other optional processing where you consent.
Legitimate interests (Art. 6(1)(f) EU GDPR): for fraud prevention, security, improving our website and communications (we will balance those interests with your rights).
Legal obligation (Art. 6(1)(c) EU GDPR): to comply with statutory retention or reporting obligations.
To establish an employment relationship (§ 26 BDSG): Your application information is used to decide upon an offer of employment.

5. Cookies and similar technologies

8. Retention

General website contact messages: retained for a reasonable time to handle enquiries (typically up to 2 years unless otherwise needed).
Newsletter subscription data: retained until you unsubscribe (consent-based).
Job application data: retained for [e.g. 6 months] after the recruitment process unless you agree to longer retention.
Contract, donation, accounting records: retained to comply with legal and tax obligations (typically up to 6–10 years where required).
When no longer needed, personal data will be deleted or anonymised securely.
9. Your rights

10. Security
We implement appropriate technical and organisational measures to protect your data (encryption in transit, access controls, secure hosting). While we take reasonable steps to secure data, no system is completely risk-free.
11. Automated decision-making and profiling
In accordance with Article 22 of the GDPR, we do not carry out automated decision-making or profiling that produces legal effects or similarly significant effects on individuals, unless we clearly explain this in a specific notice and obtain any required consent.
12. Special sections
Newsletter: We send newsletters only with your consent. You can unsubscribe at any time via the unsubscribe link in each email or by contacting us.
Analytics & online tools: We may use analytics services to analyse website usage. Where required by law we obtain consent before placing analytics cookies. We use IP anonymisation where supported. If you prefer not to be tracked, you may disable cookies in your browser. Cookies that are required to carry out the electronic communication process or to provide certain functions (e.g. registration, payment processing) are processed according to Art. 6 par. 1 lit. f EU GDPR. In this case, cookies are stored to improve the usability of our website. Disabling cookies may limit the functionality of this website.
Third-party services: When we use third-party providers (e.g., Mailchimp, Google Analytics, applicant management systems) we will list them and their purposes in a detailed processing appendix on our site and include transfer safeguards where applicable.
Job applicants: Application data is processed to run recruitment. If your application is unsuccessful, we will retain documents for a limited period (e.g. 6 months) for legal defence and compliance reasons, unless you agree to longer retention.

We may update this policy from time to time. The “Last updated” date at the top will be revised. Material changes will be communicated where appropriate.
